Job Purpose
The Accounting Assistant is responsible for ensuring vendor and customer invoices are accurately processed within the ERP system. This position is also responsible for ensuring cash receipts are processed timely and all past due customer accounts are followed up on.
A Typical Day / Job Responsibilities
The list of duties is not all inclusive and may be expanded to include other tasks and responsibilities as management may deem necessary.
Accounting Focus
Process vendor invoices and credits and apply tax appropriately.
Process vendor payments including prepayments.
Process customer invoicing.
Process customer credits and refunds.
Review receipts not invoiced to ensure timely receipt of vendor invoices.
Daily application of cash received to customers’ accounts.
Perform collections on past due accounts receivable.
Work with Customer Service, Sales and Purchasing to resolve invoice and collection issues.
Support month-end and other reporting activities as assigned.
Assist in identifying process improvements that increase transactional accuracy.
Maintain SOPs of critical processes and documentation of current standards.
Provide backup support to Cost Accountant as needed.

Qualifications, Education, Experience, Skills

Associate or bachelor’s degree in an accounting or business-related field required.
Experience with ERP software and Microsoft Office Suite preferred.
Good organizational skills, including the ability to handle multiple projects at the same time.
Attention to detail and precision and accuracy in documentation and record-keeping.
Excellent communication skills, including written and interpersonal; ability to work with all levels of the organization.
Strong math skills, including problem solving.
Advanced computer skills are required, including Microsoft Office Suite (Excel).
Ability to ask for help when needed.
Willingness to learn new processes and systems.
Willingness to take on non-traditional tasks, roles, responsibilities, and challenges when needed to accomplish company goals.
A team player who takes action to promote a positive team climate.

Hours of work are generally during regular business hours and average at least 45 hours a week.
There will be some variation in work hours due to employee shift schedules, special projects, deadlines, employee needs, and other concerns. Occasional out-of-town and overnight travel may be required for business and education.
